BC International Education Week (BCIEW) is expected to attract delegates from across Canada and abroad, including institutional and district leaders (e.g. vice-presidents, district principals, directors), senior government officials, NGO representatives, frontline practitioners and other key influencers in the field of international education. Please note that deadlines are subject to change. We recommend staying up to date with any announcements by subscribing to our newsletter and checking this FAQ page regularly.
Payment deadline:
- Within 30 days of submitting your sponsorship registration or by May 21 whichever date is earlier.
Accommodation booking:
- May 23 (Rooms may sell out earlier, so we recommend booking as soon as possible).
- Please note that we will audit rooms on May 4. If you are holding a room but haven’t yet registered for the conference, your reservation may be revoked.

If your sponsorship package includes complimentary passes, Christina will email you a discount code after BCCIE receives your payment. You can then use the code to register your passes here.
What is a sponsor representative?
What is a sponsor representative?
Sponsor representatives (“sponsor reps”) are typically those who will represent your organization at the conference and at your exhibitor table (if applicable), answering any questions from delegates. To ensure they are easily identifiable, all sponsor reps will receive orange name badges, different from the blue badges worn by delegates.

If your organization has one or two attendees, BCCIE will automatically assign them orange name badges unless you specify otherwise.

If your organization has three or more attendees, please inform us by Tuesday, June 2 who you would like to designate as sponsor reps so we can print orange name badges for them.
You may designate as many sponsor reps as you wish, as long as they are registered to attend.

Diamond, Platinum, Gold, and Silver sponsors will have the opportunity to select their table locations once the call for sponsors is closed and the number of tables has been determined. This will take place during the first two weeks of June, and you will be contacted when it is your turn to select your table location.
Exhibitors’ table locations will be assigned by BCCIE and shared with Exhibitors by June 12.

What are the exhibiting hours?
What are the exhibiting hours?
There are no specific hours that you must be at your exhibitor table; however, we do encourage you to be at your table during high-traffic times:
- Exhibit Hall times on Monday and Tuesday
- Meals and breaks throughout the conference
Outside of these times, you are welcome to attend conference sessions and activities along with delegates; the choice is yours!

What is the Exhibit Hall Passport Program?
This program is designed to increase traffic to your booth!
Participating delegates will receive a paper passport to collect stamps from exhibitors. Those who collect the required number of stamps will be entered into a prize draw with multiple prizes to be won. Participants will receive two stamps from Diamond sponsors and one stamp from all other sponsors with tables in the Exhibit Hall.
As a sponsor you are also welcome to donate a prize should you wish; we recommend a minimum value of approximately $50. Please inform BCCIE by June 9 if you would like to donate a prize.

Unless otherwise agreed to in writing by BCCIE, sponsorship payments must be received in full by BCCIE within 30 days of sponsorship registration or by May 21 whichever date is earlier. If payment is not received within this time, sponsorship will be subject to cancellation.
If you are no longer able to meet your sponsorship commitment, refunds of 50% of sponsorship fees paid will be granted until April 20. Requests must be received in writing to conference@bccie.bc.ca on or before this date. NO REFUNDS OF SPONSORSHIP FEES PAID WILL BE GRANTED AFTER THIS DATE.

I understand that BCCIE does not obtain express consent from delegates to receive commercial electronic messages from any party as outlined by Canada’s Anti-Spam Legislation (CASL). By submitting my registration as a sponsor/exhibitor, I acknowledge that I understand my organization is responsible for compliance with CASL as outlined on this page.

General Terms & Conditions
a. By attending a BCCIE event, you agree that BCCIE reserves the right to change the format of any talk, presentation or event if needed. In the unlikely case that this happens, BCCIE is not accountable for damages nor is it accountable for any real or anticipated revenues lost due to the changes to the event or changes to the program or activities subsequent to the date of sponsorship registration.
b. BCCIE aims to provide a workplace in which everyone is treated with dignity and respect and to foster and preserve an environment that is free from forms of discrimination, bullying, and harassment. By attending a BCCIE event, you agree to being a part of this respectful engagement and you agree to abide by BCCIE’s Respectful Workplace Policy.
c. You agree to abide by and engage in appropriate health and safety conduct as specified by BC HEALTH AUTHORITY while attending BCIEW 2026, and otherwise adhere to the BC health requirements, posted signs and verbal requests. BCCIE intends to the best of its ability to ensure that all participants abide by these protocols including, but not limited to, requiring provide proof of vaccination be provided in order to attend BCIEW 2026 and associated events should the BC Health Authority require this at the time of BCIEW 2026.
d. By attending BCIEW 2026, you understand that your image, likeness, name, voice and/or words may be captured in photographs or recordings taken during the event and you grant BCCIE unrestricted permission to use, publish, display, reproduce, copy and distribute such image, likeness, name, voice and/or words, worldwide, for any purpose authorized by BCCIE, including but not limited to website use, training, publications, presentations, promotional marketing and advertising use, etc., in all forms of media now known or later developed.
e. By submitting your information on this form you consent to the information you have provided being saved on a server outside of Canada.
f. By submitting your registration you are agreeing to receive email communications about our Summer Flagship event. After receiving the first email, you may opt out at any time.
g. Violations of the General Terms and Conditions are determined by BCCIE in its sole discretion. Any participants violating these rules may be subject to: expulsion from BCIEW 2026 without obligation on the part of BCCIE to refund any fees, ineligibility for attendance at future BCCIE events, possible referral to appropriate authorities, and other consequences at the discretion of BCCIE.
h. BCCIE will not be held responsible for loss, theft or damage to supplies and other items. The Sponsor/Exhibitor must secure appropriate liability/loss insurance at their own expense should they choose to do so.
Force Majeure
Should the event be cancelled resulting from force majeure events (“Force Majeure Events”) no party shall be liable or responsible to the other party, nor deemed to have defaulted under or breached this Agreement. Force Majeure Events are as follows: (a) acts of God; (b) flood, fire, earthquake or explosion; (c) war, invasion, hostilities (whether war is declared or note), terrorist threats or acts, riot or other civil unrest; (d) government order or law; (e) actions, embargoes or blockades in effect on or after the date of this Agreement; (f) action by any governmental authority; (g) national or regional emergency; (h) strikes, labour stoppages or slowdowns or other industrial disturbances; and (i) shortage of adequate power or transportation facilities; and (j) outbreaks of pandemic or other events beyond the control of the party impacted by the Force Majeure Event (the “Affected Party”).
